Week of Sept 28, 2009

Things I've done:

MyFD

  • Back-up for customer phone calls while Puja was on vacation (Sept)
  • Assisted Puja with sending reminder notification and printing/delivering materials for Queries workshop
  • TFS Work item for auto email when user has an item pending local review for too long (suggested 5 days)
  • Helped with Customer Service phones/emails while PCS was down 50% of their staff (2 days) Puja and Mara also helped when I was not available
  • Created reactionaires (class surveys) for all 3 MyFD classes (10/7/09)
  • Created communications plan for BAR/BSR opt-out, with Melissa. This is our way of educating campus users/consumers of the paper reports and a way to increase voluntary opting out so there is less pain as we get closer to shutting off the reports. (10/6/09)
  • Taught Mara how to manage listserv subscriptions (add/remove users) (10/7)
  • Suggested Melissa use breakout groups at FDI Core meetings to get more answers to her questions, allow for the possibility of greater conversation amongst the group (especially important for those who are not as talkative), and an opportunity for our group to get to know one another better (and more quickly).
  • Reviewed trainign process flow and support expectations with Pete (10/13)
  • Scheduled Team Spirit award for the customer service work PCS & MyFD have done
  • Lead CS/Mel team meeting to discuss BAR/BSR communications (10/14)
  • Scheduled/led team meeting to discuss team/individual ownership, training schedule, project prioritization (10/15)

  • Held EDP meetings with Mara and Puja to explain what EDPs mean to me, how frequently they should be updated, gave tips on how to improve their documents so they can be approved and set the expectation that EDPs are their documents, not mine and they are responsible for taking action, or not taking action on them. they need to be the driving force behind them--I will support and help where I can but it's up to them what gets done.
  • Updated signature line item - just for Puja!
  • Seriously cleaned up/organized my email folders (deleted lots, created archive folders, etc.)
Meetings

  • Staff meeting changed this week. We discussed:
    -production support flow for PCS and MyFD Tier II support (who specifically each group shoudl be escalating to and when)
  • Prioritized our enhancement requests
  • Brining Mara into the Production Support fold

What was done?
  • updated getting started guide with updated info and added MyFD application and help page urls (the simplified ones)
  • created draft of myfd newsletter including a prize section for those who tell us why their departments are still using paper.
  • Provided feedback to Jeff Follman re: draft blurb about open financial data
  • Updated activities for Managing Budgets class. Instead of having activities in both the slides and a handout, all activities are in one handout with the slides being separate.
  • Testing Advantiv for FSNA Team and coordinating resources from Proc Cust Srvc and MyFD (Puja)
  • Sat in on Basics of Fiscal Reporting in MyFD today.
  • Set up class teaching schedule for Puja and me.
  • Attended eFECS feedback session (handed out prizes and handouts)
  • Draft of eFECS Training Activities
  • Added an additional "Managing Budgets" class for the month of September

Work Completed for the week of August 3-11th

TRAINING:
1. Taught "Managing Budgets" class to 9 students

PROJECT WORK:
2. Created combined MyFD & eFECS work timeline (shared w/ Melissa, Lisa, Charles, Puja, Tamara and Matt) took about 6 hours time

CROSS TRAINING
  1. Created list of questions for Mara/PS Cust Support Team and scheduled dates/times to review them (asked Puja to lead these sessions)
  2. Reviewed Queries Workshop materials with Puja so she can deliver it while I'm out of the office (Aug 20th)
  3. Scheduled check-ins w/ Lisa/Dawna/Gwen
  4. Created new activities for "managing" class
  5. Introduced Matt Lambert to Financial Management Leaders

-Asked Pramilla what she anticipated covering in quarterly meetings w/MyFD CS
-Reviewed interview questions (meeting w/ Ted & Pramilla 6/2 to review approach for 1st round interviews)
-Attended FEC Training
-Provided input re: Biennium Close newsletter, and wrote article re: transferring from closed biennium, to Donna Andreason.
-Helped Laurie Hunt determine whether or not one of her paper reports needed to be kept for Records Retention purposes.
-Reviewing 117 resumes (one more day of uploads, then req is closed)
-Created draft Captivate (My 1st!) for interactive Biennium Close Calendar
-Monthly mentoring
-Helping create structure for RQT program representation (Puja/Katy)
-Biennium Close Team (MyFD Calendar was confusing for those attending meeting. Jumped right to looking at the dates at bottom and not reading the specifics)
-FFR Class - new format discussed - 4 hour basics class, with one hour of that being FAQs that the accountants handle AND a 2-3 hour hands-on class using accountants/GCA/MyFD Staff to mentor

Thinking about/Need to discuss

Add'l notes:

1. The "previous transfer" flag for the high risk template is only accurate as of the moment a transaction screen is submitted. The rule is that "prior transfers" include anything actually previously transferred, plus anything that is in submitted status at the moment you place the screen into submitted status. The latter one could change before the day is out, i.e. the other screen could get un-submitted and deleted and, if that was the only "prior transfer" then the flag would be false.

2.Reviewer "training" - remember: on undo, in a multiple review situation, the reviewer may see a "you have submitted" message, but if they go back to find the page on the Saved & Submitted page, they won't find it in SUBMIT status if they don't UNDO on the ETForm, they need to UNSUBMIT on the Saved & Submitted page

What I did

  • Taught Intro to Reports, mostly unaided--Yay!
  • Drafting Intro to Reports course materials
  • Contributed articles for FM Newsletter (Jeff Folman). Subjects were re: Transactions training wrapping up and biennium close information
  • Group email back up while Puja was on vacation
  • Group email back up while Jerrica was out sick
  • Reviewed i:drive files and kept what I wanted and allowed Jerrica to purge the rest
  • Shared idea to sign all former trainees up for our listserv so they receive MyFD and biennium close information
  • Followed up with end users that should have gotten "FDI System Reject or Returned by Compliance" messages (sent on behalf of Dev Team so they could validate whether or not the system was functioning properly
  • Provided feedback to Melissa, for the "budget instance" memo she created
  • Had to redo spreadsheet containing "benefits reason" and sent two versions to Dev Team to update

February 23rd Report

What I did
  • LEAD Team Retreat (co-lead all day retreat, took notes, facilitated Leader's Quarterly planning discussion)
  • Lead review of FFR Materials with Financial Accounting, GCA and Purchasing.
  • Sent eFECS proposed support structure of phase II to Jerrica and Puja
  • Worked with Travel Office on hands-on training classroom options
  • Asked group to have their top "pinch point" sent to me by 3/2 so I can get them to Cheryl
  • Emailed Puja and Jerrica eFECS triage structure
  • Check-in w/ Charles & Melissa
    -reducing class offerings, especially those with a cost associated with them
    -shared statistics (really helped Melissa and Charles understand what's going on with our team)
  • Sent recognition to two copy center staff (Jake & Ferris) for the great customer service experience (copied Katy Folk-Way on message)



What I'll do

  • Obtain final proposal for furniture installation cost, see if MAA wants any of our old furniture & contact Surplus so they can collect the remaining items

February 16th Report

Activities from week of 2/9/09

  • Finished booking what rooms I could for biennium testing (didn't add Jerrica to invites because she'd indicated that she wanted to test on her own)
  • Added calendar appts to remind myself to send out class reminders (only did it if I was scheduled to be the lead trainer)
  • Prepared for all day LEAD team retreat
  • Rescheduled MyFD Retreat for March 10th. Also set up time to meet with Cheryl on 3/3/09 to review agenda and current "pinch points"
  • Eliminated at least 200 emails from personal email inbox
  • Worked with Erin Fay regarding business rule change for EIO fabrications (she will need to work with MAA & Financial Accounting if the rule should change. Also reminded her that anyone with Restricted Expense Central Office authorization can submit these types of transfers)
  • Emailed Jerrica and Puja completed January stats for
  • -No-show rate (including capacity utilization)

  • Revewing reactionnaire stats

  • Learn about new MyFD Budget with Melissa & Charles
  • Discuss hiring another person w/ Melissa & Charles
  • Meeting with FFR Group to prep class for 2/25
  • Obtain latest and greatest triage structure from Gwen/Lisa
  • Send eFECS support plan proposal to Jerrica & Puja. This provides the reasoning as to why MyFD will help with the support of eFECS

Issues related to accomplishing goals
  • Very short week with lots of meetings and 1 day of vacation time. Not much time to get big stuff done.

Activities from last week
  1. Bravo award & americanos given to Puja and Jerrica for their Training efforts at Bothell
  2. Canceled Tower auditorium and instead booked Electrical Engineering, room 403, for the lecture trainings
  3. Updated Google Calendar w/ new room location for lecture classes (now reflects new rooms)
  4. Notice sent to trainees registered for 2/11 class (hands-on class was canceled due to lack of computer classrooms - the room we'd originally booked needed to be used for an academic class)
  5. Completed "V'ella" document for Charles check-in w/her
  6. Budgetary figures, for using the excess Tower furiture, were forwarded to Michelle Lynch
  7. Budget # cards were sent to copy services (the card used for training classes)
  8. Scheduled team lunch for 2/12/09 at Fare Start (in lieu of Theo Chocolate Tour)
  9. Copy request sent to Copy Services for Administrator and lecture/hands on training
  10. updated Administrator training with new process flows and updated Website screen shot
  11. Began using Jerrica's suggested meeting format (reviewing weekly stat report in one meeting and setting up a separate meeting to work through group training activities)

  1. Have printouts of finalized class materials and laminated cards copied
  2. Follow-up on Tower furniture (checking out actual furniture, assessing cost to install, sending approximate costs to Michelle Lynch)
  3. Review/Close any remaining TT items assigned to me
  4. Explore CRMtools and continue to press for getting Right Now licenses
  5. Understand preference for group outing (Fare Start vs. Theo)
  6. Finish booking rooms for ciennium close testing
  7. Finanalize FFR Class materials for Anthony (POD)-converting paper appendix to electronic format
  8. Develop communication strategy for biennium close team
  9. Complete "V'ella" document for Charles
Issues
  1. See if Charles can influence us getting licenses for Right Now. Currently, FM has more licenses than are suppose to. FM has over 100 licenses and are suppose to have somewhere between 40-50. FM is challenged with removing licenses from Right Now, because any content that's attached to those licenses that need to be removed, would be lost forever.
